This policy aims to enhance security and accountability by ensuring that all users who log in using common user login access send an email notification detailing their identity and purpose for accessing the system.

  • User Identification: Users who log in using common user login access must immediately send an email to a designated recipient or group, providing the following information:

    • Identity: Users must clearly state their full name and any other identifying information required by the Netspective Communications LLC’s policies.
    • Reason for Login: Users must provide a concise explanation of the purpose for accessing the system using the common user login. This explanation should be specific and relevant to the user’s authorized responsibilities.
  • Email Recipient: The Netspective Communications LLC should clearly communicate the designated recipient or group receiving the email notification to all users with common user login access. This may be a supervisor, a specific department, or an email distribution list, depending on the Netspective Communications LLC’s structure and requirements.

  • Email Timing: Users must send the email notification immediately after successfully logging into the system using common user login credentials. Any delay in sending the notification should be avoided unless exceptional circumstances arise, in which case the user should send the email as soon as possible.

  • Audit Trail: The Netspective Communications LLC’s IT or security team should maintain an audit trail of these email notifications to ensure compliance with the policy. This audit trail will serve as a record of all login access activities and will be available for security reviews or investigations, if necessary.

  • Non-Compliance: Failure to comply with this policy may result in disciplinary actions, which could include the loss of common user login access privileges or other consequences as deemed appropriate by the Netspective Communications LLC’s management.

  • Training and Awareness: All users with common user login access must receive adequate training and awareness regarding this policy. Training should include instructions on how to send the required email notification and the importance of adhering to the policy for maintaining system security.”
